Ono Pharmaceutical Co., Ltd. (The Company) shall respect the rights and benefits of individuals in relation to the personal information of the Company's customers, business partners, employees and others associated persons, which are acquired, retained and used in pursuit of the Company's business operations. Personal information is any information that tells us something about you. This could include information such as name, contact details, date of birth, medical information and bank account details.

We use your personal information for the following purposes:
- For insurances purposes;
- For the provision of payment for services;
- To administer the agreement we have with you;
- For business management and planning purposes, including accounting and auditing;
- To make decisions about your continued engagement;
- To retain a record of you;
- To make arrangements for the termination of our working relationship;

What is the legal basis of our data processing?

What happens if you do not provide information that we request?
- We need some of your personal information in order to perform our contract with you. For example, we need to know your bank details so that we can pay you. We also need some information so that we can comply with our legal obligations. For example, if you attend our offices and suffer an injury or accident, we will need information about this to comply with our health and safety obligations.
- Where information is needed for these purposes if you do not provide it we will not be able to perform our contract with you and may not be able to offer you a contract or continue with your contract. We explain when this is the case at the point where we collect information from you.
How do we share your personal information?
We will keep your personal information confidential and only share it with others for the purposes set out below and elsewhere in this privacy notice.

- We may share your personal information with any person working within Ono or with any person working within the Group on a need to know basis to ensure we are able to perform our obligations to you;

For how long do we keep your personal information?
As a general rule we keep your personal information for the duration of your contract with us or for a period as we noticed when we contact you. However, where we have statutory obligations to keep personal information for a longer period or where we may need your information for a longer period in case of a legal claim, then the retention period may be longer.
Notwithstanding the above, any personal information will be deleted in accordance with our data retention policy.

What will happen if you email us?
If you email us, or give us your personal email address, we will record it. We may use it to contact you occasionally in the event you are no longer providing services to Ono.
If you send us emails from your personal email accounts, remember that your personal email accounts may not be subject to the same security measures as your work email accounts and emails could be intercepted. If you do send emails from your personal accounts, please keep the amount of personal or confidential information you include to a minimum. We will do likewise when we reply to your personal accounts.
Overseas transfers of your personal information

Ⅳ. Provision of Personal Data to Third Parties
- The Company may provide personal data of individuals engaged in clinical study operations to the following third parties in relation to the purposes of use stated in above II:
- Third parties (companies or individuals) related to planned or ongoing research or joint development partners
- Ethics committees or other regulatory authorities in countries or regions where the Company conducts research and development activities
- Third parties to whom the Company is required to disclose based on legal provisions, legal procedures, court orders, etc.
- When providing personal data to third parties for the above reasons, the Company may transfer personal data to countries outside Japan. The personal information and personal data protection systems in such foreign countries may not have protection measures equivalent to those in Japan.
- For products currently under research and development or future research and development products, the countries where research and development will be conducted or the countries of the regulatory authorities to which approval applications will be submitted are undecided, and it is not possible to specify the organizations or countries to which personal data of individuals engaged in clinical study operations will be transferred. Therefore, it is not possible to provide information on the personal information and personal data protection systems or protection measures in such organizations or foreign countries.
Ⅴ. Measures for Managing the Security
The Company implements the following measures for managing the security for personal information:

To ensure the proper handling of personal information, we have developed the Privacy Policy regarding compliance with the Act on the Protection of Personal Information and other laws and regulations, as well as contact points for inquiries and complaints.
(Development of Rules for Handling Personal Information)
We have developed the Personal Information Protection Policy regarding handling methods, responsible persons, and their duties at each stage of acquiring, using, storing, providing, deleting, and disposing of personal information.
(Organizational Measures for Managing the Security)
We have established a responsible person for handling personal information and a reporting and communication system to the responsible person in case of finding any facts violating the Act on the Protection of Personal Information. Additionally, we conduct regular audits by the audit department regarding the handling status of personal information.
(Personnel Measures for Managing the Security)
We conduct regular training for employees on compliance with the Act on the Protection of Personal Information and other laws. We also include confidentiality obligations of personal information in the work regulations.
(Physical Measures for Managing the Security)
In areas where personal information is handled, we manage employee entry and exit and implement measures to prevent unauthorized persons from viewing personal information. We also take measures to prevent theft or loss of equipment, electronic media, and documents handling personal information.

- Provision to a third party, outsourcing and joint use necessary for achieving the purposes of use
We will handle pseudonymized personal information appropriately by taking measures for managing the security based on laws and regulations.
Ⅸ. Handling of Anonymized Personal Information
- The Company may prepare, acquire, or provide anonymized personal information processed so that specific individuals cannot be identified and cannot be restored to the original personal information, based on laws and regulations.
